The Role

 

Our Department Head of Central Res Dev Land is looking to recruit a highly proactive and reliable Personal Assistant.  This will be a 12 month maternity cover fixed term contract and you will be based at the Knight Frank Stratford-upon-Avon office.  This is a full time role for an experienced PA who is able to operate in a discreet, diplomatic and efficient manner.  You will be confident in offering solutions, making judgements and delivering outcomes within required timeframes.  This role would suit a strong communicator who is capable of influencing others successfully, with a professional and helpful approach.  You will have good administration skills and be able to use the relevant systems confidently with the ability to multi-task.

 

Responsibilities:

 

  • Diary & inbox management
  • Taking calls and messages & dealing with them appropriately and efficiently
  • Audio-typing / document production
  • Raising invoices, purchase orders, processing invoices, expenses, hours and keeping up-to-date records
  • Assisting with Client Due Diligence and Terms of Business
  • Marketing support: brochure production, window cards, web listings, mailers
  • Booking viewings
  • Handling of sensitive / confidential material
  • Electronic filing
  • Record maintenance
  • Managing team stationery orders
  • Assisting with new starters
  • Team point of contact to the wider business & passing of information to the team where appropriate
  • Assisting with the organisation of client entertainment events
  • Assisting with wider office events e.g. Christmas Party

 

Qualifications/Experience/Attributes:

 

  • Good overall level of IT competence and ability to learn and navigate new systems & high level of proficiency in:
    • Outlook
    • Word
    • Excel
    • Powerpoint
  • Previous PA/administrative experience of 2 year minimum desired
  • Ability to manage a changing workload
  • “Can do” attitude
  • Team player but with the ability to work alone
