PA to Managing Partner


  • Diary management – taking full control of the Managing Partner diary, making appointments and arrangements for all meetings with internal and external stakeholders, representing them using discretion and confidentiality at all times and being positively perceived as their representative
  • Acting as the point of contact through email and telephone management and being the point of contact also for the capital market department
  • Taking a proactive approach, anticipating the needs of the Managing Partner
  • Effectively, being in a position to protect and prioritise the time of the Managing Partner, making sure there is adequate time for meeting preparation, focus time and travelling
  • Preparation for meetings, ensuring that the Managing Partner has all relevant documentation ready for pre-reading
  • Preparation for the Board meetings (internal and with Head Office), including maintaining a running list of future agenda items and ensuring subsequent actions are dealt with by the relevant board members.  Making sure meetings are set up in a timely manner and papers are collated and sent out in plenty of time for the meeting
  • Reviewing Board papers, making sure minutes are reviewed and ensuring the Group Head of Technology carries out their actions before the next meeting#


PA to Capital Market Team


  • Support Capital Markets team, maintaining their schedules through extensive and proactive diary and email management; organisation of internal / external meetings and viewings and conference calls, including preparing any required papers beforehand.
  • Board Meetings and team Strategy Away Days; coordination of all relevant meetings including preparation of Board packs.
  • Presentations; coordinate and manage internal and external (client) presentations with our in-house creative and business development teams (where possible draft in the first instance), external printers, plus the post room to ensure a smooth process.
  • Corporate travel arrangements; preparing detailed itineraries and travel packs where necessary
  • Maintain collaborative relationships with clients, managers and employees.
  • Business Planning coordination (bi-annually); working with the Managing Partner and Head of Capital Markets on the spring and autumn business planning process and helping to coordinate for their team(s).
  • Supporting the Management with the process procedures to ensure a streamlined service for their teams.
  • hub Coordination; working with the Management to ensure client records for all teams are maintained, ‘cleaned’ regularly.
  • Supporting the Corporate CRM Programme; where relevant, working closely with their CRP’s to maintain strong client relationships and communication.
  • Event management; working with the Management on firm wide events; including project managing some of their team events from the initial brainstorm to briefing marketing, researching venues, creating invites, helping create supporting collateral, managing the RSVP lists, welcoming the clients at the event, etc.

Professional experience and personal skills profile


  • 5-10 years’ experience in the role
  • Good Microsoft Office
  • Good communication skills
  • A flexible, organised, pro-active hands-on individual is required for this role
  • This role would suit a strong communicator capable of successfully influencing others at all levels of the business, with a professional and helpful manner
  • High degree of flexibility and organisation; working to defined timescales
  • Excellent time management skills
  • Fluent English
