A great opportunity has arisen to join us here at Knight Frank, and we are currently seeking a Team Assistant to join our Hotels department based at our Global HQ at Baker Street, London.
This is a full-time role for a highly motivated Team Assistant where you will be responsible for providing an effective and efficient administrative support service to the Hotels Valuations team, and to ensure the smooth running of a busy department.
In the Team Assistant role, you will be responsible for:
- Proactive diary management including the organization of internal / external meetings, viewings, and conference calls
- Arranging travel arrangements for the valuation team, including across the UK and overseas, and preparing detailed itineraries and travel packs where necessary
- Instructions administration; including registering jobs, creating job folders, conflict checks, terms of engagement, client liaison, and setting up reports
- Updating templates, travel forum ratings, collating client information and other administrative support for the Hotel Valuations team
- Assisting in the events from the initial brainstorm to briefing marketing, including researching venues, creating invites, etc.
- Liaising with the marketing team and assisting on projects when relevant
- Ensuring Hub, RPS, and Outlook contacts are maintained and cleaned regularly, and scores are kept in line with the department’s targets
- The teams filing systems, archive, photocopying and confidential waste disposal as well as preparing documents such as creating property files, audio / copy typing, minutes, presentations and pitching documents
To be successful in the Team Assistant role, you will have the following skills and experience:
- 2 plus years’ in a similar secretarial role
- Strong IT skills and strong understanding of Microsoft packages
- 60 wpm+ audio typing
- Experience of managing diaries
- Good standard of English grammar and spelling, and takes pride in presentation of work
- Flexible, adaptable, and cooperative with the ability to remain calm under pressure
- Well presented with a clear speaking voice
- Dedicated, loyal, diligent and punctual with a tidy manner
