The London Residential sales division are looking to recruit a Senior Operations Coordinator support the Prime Sales teams in Kensington and Notting Hill, as well as being responsible for Super Prime sales administration support across the London network. As such, they must be capable of corresponding with high-net-worth individuals confidentially and with total discretion, providing an exceptional internal and external customer experience. 

The role is based in our Kensington office, forming part of the London Sales Support team headed up by the Operations Managers, with day-to-day input from the Department Head.

 

Responsibilities

 

Customer Experience
 

  • Provide an exceptional internal and external customer experience in every interaction, ensuring all           teams and customers are fully supported
  • Nurture strong relationships with teams providing high levels of support
  • Assist in answering incoming calls and greeting customers
  • Assist with implementation of Customer Experience initiatives 
  • Drive net promotor scores through customer journey improvement initiatives 
  • Support team with organisation and diary management as required  

 

Sales administration
 

  • Provide efficient sales administration, to include:
  • Property listings: 
  • Create new property activity records 
  • Order land registry title checks 
  • Register new instructions  
  • Create template letters and forms  
  • Best Practice 
  • Manage CDD process for clients and counterparties  
  • Keep up to date with and adhere to best practice standards and procedures 
  • Liaise with clients to obtain necessary documents prior  
          to marketing  
  • Ensure correct naming conventions are used on all property files  
  • Ensure compliance and drive audit pass rate improvements 
  • Accounts: 
  • Accurate generation of sales invoices  
  • Ensure accurate records are maintained on all reports 
  • General: 
  • Be a trouble shooter with system processes and procedures 
  • Carry out monthly reporting to assist with performance monitoring 
  • Collate and prepare stats for meetings
  • Assisting team with arranging appointments and updating systems/contact records

 

Local Marketing
 

  • Create property brochures, window cards and pitching materials 
  • Arrange and upload EPCs, photos and floorplans  
  • Update property listings 
  • Use of internal systems to search and download imagery  
  • Supply imagery and property information for regional publications and central marketing campaigns   
  • Assist with meeting marketing deadlines  
  • Display knowledge of GDPR regulations  

 

Health & Safety/Information Security
 

  • Display knowledge of ISO regulations    
  • Assist with implementation of annual sustainability targets  
  • Follow storage & archive protocols  
  • Ensure confidential files are treated correctly   

 

Professional experience and personal skills profile

 

Particular Aptitudes/Skills Required

 

  • 3 years’ experience in a support/administration role within the property industry
  • Flexible, adaptable and co-operative attitude
  • Resilient and remains calm under pressure
  • Excellent standard of English grammar and spelling
  • Diligent and efficient with strong attention to detail
  • Organised, self-motivated and takes initiative
  • Team player with strong interpersonal skills
