Based in our Global Head office at 55 Baker Street, we are looking for an exceptional Senior Executive Assistant to support our Head of Residential. This is a 1:1 role for a highly motivated, results driven Senior Executive Assistant. Responsible for proactively managing a range of day to day tasks on behalf of the Residential Business Head, including providing right hand assistance in a discreet, diplomatic and efficient manner. Offering solutions, ideas and making judgements and decisions on behalf of the Residential Head as and when required. 

 

Responsibilities:

Stakeholder Management

  • 1:1 Senior Executive assistance to Leadership Head – Extensive 1:1 EA support and proactive diary management. Preparation for meetings including research, preparing briefing materials, relevant documents, and pre-reading. Management of all Board and Strategy monthly meetings including production of board packs, Strategy Away Day packs, minute taking and distribution.
  • Personal – Administration management of ad-hoc personal matters as required, including flight bookings, dealing with investment properties etc.
  • Group Executive Board (GEB); Manage Leadership Head’s attendance at GEB meetings, Strategy Days and conference packs and organise presentations.
  • Residential Board – Responsible for managing the meetings and agenda, liaising with both Board members and other stakeholders about their participation and contribution, and taking and circulating minutes afterwards ensuring actions are completed before the next meeting.  Finding off site locations as and when required.
  • Corporate travel arrangements – Manage UK and overseas, plus preparing detailed itineraries and travel packs where necessary.
  • Complete expense reports.
  • Collate and analyse information.
  • Screen and prioritise or respond to mail, email, calls and voicemail.
  • Social Media management Instagram, LinkedIn, Yammer etc.

 

Business Management

  • Acting as an Ambassador for Stakeholder.
  • Maintain collaborative relationships with clients, managers and employees.
  • IT liaison to help troubleshoot system errors for Stakeholder.
  • Provide ad-hoc assistance to other business support as and when required, coordinated and overseen by Senior EA to Divisional Head.
  • Maintain both inbox and digital filing systems
  • Business Planning Management (with Finance Business Partner)
  • Management of MBO’s (bi-annually) working closely with Leadership Head and Finance Business Partner.  Support in the process to ensure all MBO’s take place within the required timescales.
  • Ensuring there is structure and meetings are in the diary for Stakeholder.
  • Any other ad hoc finance planning meeting arrangements as required.
  • Three Year Plan Advocacy
  • Where appropriate, working closely with Leadership Head and Strategy Team on coordination of the 3 Year Plan.
  • Leadership Head - Business area Financial Management;
  • Working with the Leadership Head and Residential Finance Business Partner on financial management for their specific area, where appropriate.
  • Monthly travel sign-off, signing off costs, database subscriptions, supplier invoice processing.
  • Expense claim management for stakeholder
  • Referral coordination
  • Management of Remuneration and Promotion review cycle for Leadership Head.
  • Management of all remuneration meetings for Leadership Head including paperwork preparation and distribution. 
  • Liaising closely with Residential HR Business Partner to manage schedule and deliver a smooth and efficient process.
  • Appraisal process
  • Manage appraisal process on behalf of Leadership Head, including diarising, paperwork management and distribution pre and post meetings.

 

Programme / Project Management

Management and delivery of programme / projects with full accountability reporting to Project sponsor. Implementing effective project management governance and working closely with the Head of Operations and Strategy.

  • Corporate CRM Programme / Business Development management – As appropriate, in your role as a Client Relationship Support (CRS) you will assist the stakeholder as the Client Relationship Partner (CRP). 
  • Residential Town Hall Programme – Organise and manage business updates to all Residential on behalf of Leadership Head via town halls and conferences working closely with Residential Internal Comms Head.
  • Residential Office Tour Programme – Organise and manage annual visits to all UK Residential regional offices on behalf of Leadership Head.
  • Log referrals on behalf of Leadership Head.
  • Event Management – Management, coordination and attendance for business area / firm wide events including project managing some of the events from the initial brainstorm to briefing marketing, researching venues, creating invites, helping create supporting collateral, managing the RSVP lists, welcoming the clients at the event, etc.

 

Experience Required:

  • 3 years plus experience at a Senior Executive level
  • Proficient in Micorsoft Office
  • Pro active nature
  • Ability to be flexible
