The Residential business is looking to recruit an exceptional Personal Assistant to provide support to a Regional Head together with additional support for 2 PA’s in Residential.

 

This role requires a highly proactive individual with a good sense of humour, who is able to hit the ground running and provide the full range of secretarial services including extensive diary and email management, domestic travel bookings, reporting and exceptional organisation skills. The Subdivision consists of over 30 offices, and you will often be the first point of contact, acting as an ambassador at all times. You will also be responsible for minute taking; monitoring accounts and assisting with ad hoc staff events.

 

Main responsibilities include:

  • Diary management - Full control and frequent scheduling and rescheduling of the diary,  appointments and arrangements for all meetings with clients and colleagues
  • Email management - ensuring correspondence is followed up and actioned
  • Corporate travel arrangements & booking
  • Preparation of documents and reports
  • Handling of private and confidential documents and information
  • Audio/Copy typing letters, memos, minutes, schedules
  • Filing/archiving, photocopying and confidential waste disposal
  • Deal with clients visiting the office in a polite, helpful and confident manner
  • Attendance of and full and accurate minute taking at regular and irregular board meetings
  • Ensuring all paper and electronic filing is carried out on a regular basis to maintain an up to date filing system
  • ‘Point of contact’ for the department, processing telephone messages and emails in a timely manner as well as monitoring team movements
  • Remaining up to date with current initiatives and assist in preparing reports and other documentation
  • Maintain current systems and client management databases

 

 

Particular Aptitudes/Skills Required:

  • 3-5 years+ PA experience
  • A flexible, highly organised individual with an eye for detail is required for this role
  • Exceptional time management skills are required in order to be proactive and reactive at the same time, whilst remaining calm and focussed under pressure.
  • This role would suit a strong communicator capable of influencing others successfully, resilient, with a professional and helpful manner and a genuine interest in property.
  • You will have good WP skills with database experience, good typing and administration skills and the ability to multi-task.
  • This position will ideally suit a self-motivated, well presented individual with a proven background as an experienced PA
  • Numerate with an ability to read and understand management accounting information
