Role

 

Our newly appointed Head of Knight Frank Capital Advisory and Partners in the Capital Advisory Team are looking to recruit a highly motivated, proficient and reliable Personal Assistant.  This is a full time role for an experienced PA who is able to operate in a discreet, diplomatic and efficient manner.  You will be confident in offering solutions, making judgements and delivering outcomes within required timeframes.  This role would suit a strong communicator who is capable of influencing others successfully, with a professional and helpful approach.  You will have good administration skills and be able to use the relevant systems confidently with the ability to multi-task.

 

 

Main responsibilities will include:

 

  • Personal Assistant to the Partners which includes providing a full range of secretarial services such as diary management, travel and client arrangements
  • ‘Point of contact’ for the team, processing telephone messages and emails in a timely manner as well as monitoring team movements
  • Assist in formatting and preparing presentations, reports and other documentation using either corporate templates or Poweroint
  • Handling of private and confidential documents and information
  • Set up and/or updating electronic filing systems, records and reports for the team
  • Updating and managing HUB entries for the team
  • Invoicing and processing of expenses for the team
  • Maintenance of KFCA Equity Work in Progress (WIP) Spreadsheet
  • Appraisal coordination for department and six monthly 1:1’s
  • Liaise with in house creative and development teams re: hard copy presentations
  • Meeting minutes (when necessary)
  • Ensuring that you are up to date with KF team cards/brochures and research documents
  • Other ad hoc duties as may be required

 

Career Experience Required:

 

  • 5+ years EA/PA experience to busy senior professionals
  • Strong admin skills
  • Experience in assisting senior level staff:  You must be a self-starter who is used to confidently organising busy individuals

IT Packages/Systems

 

  • Microsoft Office 365; Word, Excel, Outlook, PowerPoint, OneNote, Teams, Share Point and Skype for Business
  • Database Management software; ICON; Hub, Microsoft Access, FileMaker Pro
  • Project Management software; Microsoft Project and any other in‐house systems would be advantageous
  • Design and Layout software; Microsoft Publisher, Adobe Photoshop and/or InDesign would be advantageous
  • Adobe Acrobat

 

Particular Aptitudes/Skills Required

 

  • A flexible, organised, pro-active hands-on individual is required for this role in a growing team.
  • You must be able to remain calm and keep a sense of humour in sometimes time-pressured environment.
