Based in our Knightsbridge office, the Super Prime lettings team is looking to recruit a Business Support Coordinator to assist with all administrative and secretarial support for the team.
We are looking for a dedicated individual with a high attention to detail, a passion for property and excellent communication and Microsoft Office skills. They must be capable of corresponding with high net worth individuals confidently and with total discretion. The ideal candidate for this role will have experience within a similar secretarial role.
Responsibilities
General
Business duties:
• Prioritising and managing workload
• Act as an ambassador for the team at all times and carrying out all assistant duties in a discreet, diplomatic and efficient manner
• Liaise with London offices and lettings managers on a day to day basis
• Set up viewing tours
• Preparation of Board papers and accurate minute taking at quarterly board meeting
• Maintenance of team deal tracker on MS
• Liaison with marketing to update website, brochure, mailing letter.
• Preparation of powerpoint presentations and pitch documents
• Preparation of MBO papers on a quarterly basis
• General team/office management including paying supplier invoices, coordinating team holidays
• Expenses for both Tom and the team
• Adhoc administrative projects when required
• Overseeing and keeping track of CDD and AML cases from start to finish for both counterparty and landlord
• Creating requirements for applicants and registering on hub
• Creating tenancies & property activities on hub
• Instructing & launching properties online to KF website, Rightmove & On The Market
• Proficiency in various KF systems, including Working Life, hub, Aspasia & Drag and Drop
• Creating brochures/ various marketing material for properties
• Confident in using Addintel and sending mailers/coordinating with the marketing executive for the region
• Maintaining and updating various SPL spreadsheets weekly on Microsoft teams (adding properties, removing when necessary, keeping track of properties let by other agents etc)
• Organising weekly meetings for the team
• Sending out new property launch emails to external search agents
• Creating reservation fee invoices
Professional experience and personal skills profile
Career Experience Required
3+ years Secretarial/PA experience Property experience would be helpful
