Knight Frank are looking to hire an Operations Coordinator to join their Residential Valuations team based in their Global HQ, 55 Baker Street.


You will be responsible for providing an effective and efficient support service to the Residential Valuation & Advisory department, ensuring the smooth running of a busy department and supporting the Department Heads and have the following responsibilities:


New Starters:

  • Liaise with Facilities Team to organise building pass for first day.
  • Tour of the office / building including staff facilities, fire exits, notice boards.
  • Complete First Day Induction presentation on the Intranet.
  • Confirm attendance to Head Office Induction Week.
  • Organise welcome lunch / drinks with the team / department.
  • Printing, scanning, copying.
  • Train new employee on phone use, how to set-up voicemail, hold calls, transfer calls etc.
  • Arrange iPhone, laptop / surface, portal card etc. if applicable.
  • Log new-starter software request with IT once IT has confirmed hardware and login set up has been completed.
  • Introduction to Sub-Division, region and office(s).
  • Identify training strategy and mentor Department / Office Heads.


HR Responsibilities:

  • Working with the Recruitment Team to target potential recruitment sources (through personal contacts, local competitive agents, current staff contacts etc).
  • Recruitment of Non Fee Earners within region
  • Support staff within Residential Valuations & Advisory: 1st and 2nd interviews.
  • Supervision of Non Fee Earners within Residential Valuation & Advisory.
  • Diary management.
  • Appropriate management of sensitive information.
  • Continue support of KF CX Values initiatives



Facilities Management:

  • Communicate amendments to Department Heads and compliance to offices for the following:
    • Fire safety procedures.
    • Health and Safety procedures.
    • Sustainability procedures.
    • Best practice procedures.
    • Risk management.
    • Security procedures.
    • Contingency plans / disaster plans.
    • Facilitating set up of any new offices with KF infrastructure.


Financial (on a Sub-Divisional basis):

  • Regularly monitor, interpret and implement the following for Residential Valuation & Advisory’s (RV&A):
    • Monthly reporting (management accounts / income tracking (fee rec) and records / debtors etc).
    • Expenditure on a monthly basis (travel, advertising etc).
    • Use and training of the Knight Frank accounts system, Working Life.
  • Co-ordinating MBO statistics and data.
  • Identify cost saving initiatives and cost effective methods within the RV&A.


Business Development:

  • Conduct office reviews and develop relationships with all employees, regularly visiting regional offices. 
  • Collate, review and implement efficiency identified from RV&A’s analysis of all internal systems and office practice and procedures.
  • Acting as an ambassador for the Business at all times and carrying out all duties in a discreet, diplomatic and efficient manner.
  • Arranging RV&A events, training and conferences.
  • Establish and retain consistency in all practices with Office Heads across other Residential Valuations.
  • Regularly visit offices to develop relationships with all staff.
  • Regularly feedback to and meet with support staff, Office Heads and Department Heads to review offices and their issues / training needs.
  • Reviewing any IT issues across the department and escalating to our IT support team.
  • Assisting implementation and development of projects and improved service initiatives.
  • Collaborating with the customer experience team, to initiate the B2B/B2C client survey to collate valuable feedback on our service.
  • Collaborating with other Operational Coordinator in Residential to ensure Residential V&A are aligned with other departments.
  • Attending the monthly Operations Group meeting to share and listen to ideas and for any updates to feed back to Department Head.


Professional experience and personal skills profile


  • 2+ years’ experience in a similar role
  • Candidate with an ability to maintain confidentiality.
  • Ability to communicate with others in a professional and helpful manner both face to face and on the telephone.
  • Ability to command authority and multi-task and prioritise workload.
  • Good standard of English grammar and spelling, and takes pride in presentation of work.


Qualifications/Education Required.

  • IT Skills, Word (Advanced), Excel (Advanced), PowerPoint, Outlook.
