                                                 Knight Frank are looking to hire a Health and Safety (HSE) Compliance Coordinator to support the HSE team in managing a wide range of internal or external enquiries and requests for support and advice.

 

The Coordinator will be responsible for ensuring we maintain up to date information databases and track the timeliness of responses, organise and support meetings. You will be supervised by the Senior HSE Advisor and support the HSE Manager who oversees the HSE team. This function sits within the Strategy, Risk and Operations department and is based in our Baker Street office.

 

The ideal candidate for this position must be proactive with a willingness to learn and excellent administrative and organisational skills. They will also be able to work with large and diverse requests and amounts of data in a fast paced environment. Experience in a HSE compliance role or within the property or FM industry would be beneficial but is not required.

Responsibilities

  • Maintaining Riskwise our compliance database – keeping the database up to date, ensuring inspections and actions are completed on time and with the correct evidence uploaded. Inputting and gathering environmental data ensuring it is correctly recorded.
  • Converge – used for tracking compliance related work raised by the business, allocating requests, dealing with simple queries, ordering PPE and DSE. You will also ensure we meet our SLAs around response times.
  • Maintain the office database – used for logging and tracking all aspects of our Sales and Regional offices
  • Assisting with the management of the new Incident Management database, ensuring it is up to date.
  • Audit Centre – Managing and closing down historical actions
  • Downloading and saving information as required from various supplier portal.
  • Maintain the UK Policy, arrangements and risk assessment schedule, seeking input from the Senior HSE advisor and HSE Manager prior to policies being reviewed and approved.
  • Maintain the HSE various intranet pages.
  • Assist in the coordination and management of meetings and training, including creating appointments, room booking, invites, agenda’s, presentations, minutes, and attendance records.
  • Overseeing the operation of our BSI, Internal and third party standards and audit programme, for 45001 and 14001, including the management of the online compliance platform, management of appointed suppliers, bookings, scheduling of pre-audits and audits. Ensuring reports downloaded and added to Riskwise, actions are assigned and completed in a timely manner.
  • Supporting the Senior HSE Advisor in arranging for workstation assessments, provision of PPE and other related resources and keeping spreadsheets updated.
  • Supporting the HSE Manager with gathering and inputting environmental data including utilities, waste, paper and other information onto Riskwise and spreadsheets.
  • Maintaining the Firm’s CHAS certification.
  • Reviewing and preparing statistical analyses and monthly and quarter reporting of compliance information as directed.

 

Qualifications/Education/Skills Required

  • Experience of the property sector is desirable but not essential
  • Experience in a health and safety / environmental support role
  • Excellent written and verbal communication skills
  • Good time management and planning skills
  • Highly self-motivated and proactive with the ability to learn quickly
  • Excellent attention to detail
  • Comfortable with large amounts of information.
  • Ability to cope with a high demand and fast paced working environment
  • Database administration
  • Good IT skills, understanding of excel formula and pivot tables
