Based in our busy Chelsea office in London, we are looking for a Business Support Coordinator to join the team to support the Lettings Team in their day to day running of the business.

 

General Tasks

 

  • Create new property activity records
  • Order land registry title checks
  • Updating records with information from the market appraisal checklist
  • Create template letters and forms (Inc. marketing recommendation report, confirmation of instruction, terms and conditions etc.)
  • Ensure hub records are accurate and maintained (E.G. pre-appraisals are updated
  • Create purchase orders
  • Process goods receipts
  • Induction of new starters
  • Onboarding of new starters (ordering equipment/permissions, log ins, etc.)
  • Process leavers requests on WL
  • Arrange new starter/team training
  • Support the Dept Head ensuring adequate cover is in place in the office
  • Support the maintenance of accurate records of office holiday/sickness
  • Assist team with submission of expenses if required
  • Assist in answering incoming calls

 

Marketing

 

    • Arrange and upload EPCs, photos and floorplans
    • Write/check property description prior to launch
    • Update property listings by refreshing photographs and text as necessary
    • Keep the local marketing summary up to date
    • Supply imagery and property information for regional publications and central marketing campaigns
    • Engage with strategy and recommendations and action any requirements provided by Marketing Executive
    • Marketing Asset Creation:
      • Create mailers on Addintel based on central strategy
      • Adhere to marketing deadlines
      • Create local mailers in line with discretionary spend
      • Brief marketing team on any discretionary jobs
      • Drag & Drop brochures created for properties
      • Produce pitching materials
      • Produce window cards for office

 

Qualifications/Education Required:

 

  • 2 years+ experience in a similar admin role
  • Strong IT Skills - Microsoft Office
  • Knowledge of the industry is a bonus
