The London Residential sales division are looking to recruit a Business Support Coordinator to assist the regional teams, specifically the Senior Operations Coordinators, with efficient sales and marketing administration.  You will report into the Operations Manager(s) in London Residential sales, with day-to-day input from the Senior Operations Coordinators.

 

The offices within the Prime Central London region include: Belgravia, Chelsea, Hyde Park, Marylebone, Mayfair and South Kensington. Some regional travel may be required, however the main base for this position will be in our Mayfair office.

 

Responsibilities

 

Customer Experience

 

•            Assist with greeting customers and clients in a polite manner

•            Assist in answering incoming calls and taking messages

•            Maintain a tidy office

•            Champion the customer experience

 

Sales Administration

 

•            Support assigned Senior Operations Coordinators with sales administration, to include:

•            Property listings:

o           Order land registry title checks

o           Create template letters and forms (inc. confirmation of instruction, terms of business, property information form, marketing declaration, memorandum of sale, etc.)

•            Best Practice

o           Display knowledge and ensure compliance of CDD and best practice regulations

o           Assist collecting documents from clients prior to marketing

o           Ensure correct naming conventions are used on all property files

 

Local Marketing

 

•            Arrange and upload EPCs, photos and floorplans 

•            Produce pitch pack content, brochures and window cards

•            Write/check property description prior to launch

•            Update property listings by refreshing photographs and text as necessary

•            Assist with collation of information for central and local campaigns

 

Information Security

 

•            Display knowledge of ISO regulations

•            Ensure clear desk & clear screen policies are followed

•            Follow storage & archive protocols

•            Ensure confidential files are treated correctly

•            Display knowledge of GDPR regulations

 

Regional Support

 

•            Run and distribute weekly reports for regional offices

•            Assist with ordering stationery and hardware for department when required

•            Assist team with submission of expenses if required

•            Provide ad hoc support to assigned Senior Operations Coordinators and other offices as required

 

Professional experience and personal skills profile

 

Particular Aptitudes/Skills Required

 

•            Prior experience in a business support, administration or front of house role preferred but not required

•            Flexibility, adaptability and a co-operative attitude

•            Excellent written and verbal communication skills

•            Ability to remain calm under pressure

•            Diligent and efficient with high attention to detail

•            Team player and motivated to provide high levels of support to internal and external customers
