Business Support Coordinator Responsibilities:
- Proactive diary management, organisation of internal / external meetings, viewings and conference calls.
- Being proactive in reminding the team of meetings, ensuring they have everything they need, papers, etc.
- Travel arrangements for the Global Data Centres team, including UK and overseas, plus preparing detailed itineraries and travel packs where necessary.
- Instructions – setting up new instructions, create job folders, conflict checks, terms of engagement, client liaison, set up reports, and add to work in progress.
- Reports – assist with the formatting of reports in Word, PDF reports and proof-read prior to finalisation.
- Brochures and Presentations – assist with the production of brochures and presentations using Powerpoint.
- Ensuring contacts are maintained and updated on Hub as well as adding to the Data Centre Mailing List ensuring this is kept up to date and ‘cleaned’ regularly, on Hub.
- CDD (Client Due Diligence) – being responsible for ensuring the team’s client files are kept up to date and in line with Knight Frank’s Best Practice procedures.
Administration:
- Archiving of files, photocopying and other ad hoc duties such as printing, binding, booking meeting rooms and dealing with couriers.
- Finance – assist the team with expenses, invoicing and chasing down debts
- Comfortable with learning new systems such as Hub; FAME reporting; Dun & Bradstreet reports, and other in-house systems.
- Assist the team with mailshots, newsletters and social media.
- Reporting to, and working closely with the Operations Executive getting involved with team events, where relevant.
Professional experience and personal skills profile
Qualifications/Education Required.
2 years+ experience in a similar support role
